Privacy policy

1. Introduction
This policy explains what personal information Hostgray collects, why we collect it, and what you can ask us to do with it. It applies to our website and to the hosting services we provide.
We keep this deliberately short and readable. If anything is unclear, ask us at [email protected].
2. What we collect
Account details. Your name, email address, and contact and billing details. Card payments are handled by our payment processor; we do not store full card numbers ourselves.
Service data. The files, databases and email you store with us, and the technical records needed to run them, such as server logs and resource usage.
Website visits. Standard technical information such as IP address, browser type and pages viewed.
Support conversations. Emails, chat messages and any files you send us so we can help.
3. Why we use it
We use your information to:
- set up and run the services you have asked for;
- invoice you and take payment;
- answer your questions and tell you about your account;
- warn you about things that affect your service, such as expiry dates, planned work or security issues;
- keep the platform safe and stop abuse;
- understand how the service is used so we can improve it;
- meet our legal and tax obligations.
We do not sell your personal information, and we do not use it for advertising.
4. Who we share it with
We share personal information only where it is necessary, and only with parties who are bound to protect it:
- service providers who help us run the platform, such as our payment processor and infrastructure and email providers;
- authorities, where we are legally required to disclose it, or where it is necessary to prevent harm;
- a buyer, if the business is ever sold, in which case we will tell affected customers before their information moves.
Our marketing website may be served through a content delivery network, which processes ordinary web request data on our behalf.
5. Cookies
We use cookies that are necessary for the site to work, and, where you accept them, analytics cookies that help us understand how the site is used.
You can block or delete cookies in your browser settings. Blocking the strictly necessary ones may stop parts of the site working.
6. How long we keep it
We keep account information while your account is open. After it closes, we delete or anonymise personal information within a reasonable period, except where we must keep records for tax, accounting or legal reasons. Invoices are typically retained for several years to meet those obligations.
7. Your rights
Whichever country you are in, you can ask us to show you the personal information we hold about you, correct it if it is wrong, or delete it where we are not required to keep it. You can also ask us to stop using it for a particular purpose, and ask for a copy in a portable format.
Email [email protected] and we will respond within 30 days. If our local law gives you additional rights, such as those under the New Zealand Privacy Act, the GDPR or Pakistan’s data protection rules, those continue to apply.
8. Security
We take reasonable steps to protect the information we hold, including encrypting traffic between you and our services and restricting who inside the business can access customer data.
No online service can promise perfect security. If a breach ever affects you, we will tell you and the relevant authorities as the law requires.
9. Children
Our services are for adults. We do not knowingly collect information from anyone under 18. If you believe we have, tell us at [email protected] and we will remove it.
10. Changes and contact
If we change this policy in a way that matters to you, we will email account holders before the change takes effect.
